The Role

We are seeking a proactive, organized, and friendly Part-Time Office Manager to curate a welcoming and productive environment in our new San Francisco office. You will be instrumental in creating a focused, frictionless experience for our team and creating moments for connection and delight. As this is a new office, we anticipate up to 15% of hours will be around establishing our vendors, office manual and routines under the oversight of our NYC-based Chief of Staff. This position is ideal for someone who is a creative problem solver, constantly optimizes how things work, has a gift for hospitality, and can work efficiently during their few hours onsite each day.

What You'll Do

  • Office Operations: Ensure the office is always clean, organized, and ready for the team.

    • This includes tidying common areas, meeting rooms, the kitchen, and storage for efficient operations. (non-janitorial, but may include loading + unloading dishwasher or quick wipe-downs of tables and whiteboards)

    • Distributing mail/packages and shipping items for the team

  • Supply Management: Keep our office well-stocked with essentials, from office supplies and stationery to snacks, beverages, and coffee.

  • Team & Event Coordination:

    • Coordinate monthly team breakfasts

    • Prepare our all hands space for the 9.30am All-Team meeting on Tuesdays

    • Coordinate and manage a catered team lunch on Thursdays, from finalizing ordering on Wednesday to setup and cleanup on Thursday.

  • Meeting & A/V Support: Prepare meeting rooms for use, ensuring AV equipment is correctly set up and operational for our team's daily stand-up meetings.

  • Vendor Liaison: Serve as the primary point of contact for office-related vendors (e.g., catering, building management, maintenance).

  • Office Protocols: As our inaugural office manager in a new space, partner with our NYC-based Chief of Staff to establish our SF office manual, routines and protocols.

Who You Are

  • Experienced: You have previous experience in an office management, workplace experience, or retail operations role.

  • Exceptionally Organized: You have a keen eye for detail and can manage multiple tasks efficiently without direct supervision.

  • Proactive & Resourceful: You anticipate needs before they arise and can work independently to find solutions.

  • Tech-Savvy: You are comfortable with technology and can confidently set up basic office A/V equipment. Troubleshooting Zoom/Google Meet devices in conference rooms, room reservation tablets/systems, and All-Hands screen connections via Airplay or cables. You will have text chat access to our virtual IT support team.

  • A Great Communicator: You have excellent interpersonal skills and a welcoming, service-oriented demeanor.

  • Reliable: You are punctual and can consistently commit to the required on-site schedule.

Schedule & Hours

This is a fully on-site, part-time position requiring approximately 10-12 hours per week, distributed as follows:

  • Monday: 12:00 PM - 2:00 PM (General office reset, restock, and prep for the week)

  • Tuesday: 9:00 AM - 1:00 PM (General office re-set; prep for 9.30am all-company meeting including A/V test)

  • Wednesday: 12:00 PM - 2:00 PM (General re-set, prep for Thursday's team lunch)

  • Thursday: 11:30 AM - 2:30 PM (Set up, manage, and clean up catered team lunch; end of week cleanup and re-set)

Compensation

  • $30 per hour

  • No overtime is anticipated, given the hourly volume and schedule; if required, overtime will be paid in accordance with local legislation (ex: you support a full-day onsite)

  • Due to the limited number of hours, this role is not eligible for benefits outside San Francisco Paid Sick Time (1 hour accrued for every 30 hours worked; capped at 40 total hours)
