About the Role
This role focuses on execution excellence, ensuring the Co-founder’s schedule, travel, and logistics are managed seamlessly. Working closely with the EA to Co-CEO & Advisory Board Chairman, this role ensures that time, movement, and coordination are optimised so senior leaders can operate at maximum effectiveness. The role requires exceptional organisation, anticipation, and attention to detail, with a strong service mindset and ability to operate in a fast-paced, global environment.
What You’ll be Doing
The role exists to ensure the Co-CEO’s inbox, time, travel, and logistics are managed flawlessly, with accuracy and discretion. Success comes from precision planning, proactive coordination, and strong communication with internal and external stakeholders. Within the first 6 months, the role is expected to establish reliable systems for travel and scheduling, improve visibility across calendars, and reduce friction in day-to-day co-founder’s operations.
Core Responsibilities
● Own end-to-end calendar management for the Founder, ensuring priorities are balanced and time is protected.
● Manage all travel planning and logistics, including flights, accommodation, visas, and itineraries.
● Coordinate schedules across time zones with internal teams, external partners, and advisors.
● Work closely with the EA to Co-CEO & Advisory Board Chairman to align schedules with strategic and investor priorities.
● Prepare daily and weekly schedules, ensuring clarity on objectives and key meetings.
● Anticipate logistical needs and resolve conflicts before they arise.
● Maintain clear records, itineraries, and documentation related to travel and scheduling.
● Own expense management related to travel and scheduling, including tracking, reconciliation, and timely submission in line with company policies.
What You will need for this position
● Experience: 4–8 years in EA, PA, or operations roles supporting senior leaders; experience managing complex calendars and travel.
● Education / Skills: Degree-level education preferred; strong proficiency in scheduling, travel, and collaboration tools.
● Traits: Highly organised, detail-oriented, calm under pressure, proactive, service-driven, and reliable.

Who You'll Be Working with:
Directly reporting to our Co-CEO, and closely working with our office of the CEO Team.
